Behind the Screens at Asia Pacific University – A Seamless Moodle™ Software Upgrade
There’s never a dull moment when you’re working alongside one of Malaysia’s most innovative universities—unless you count server maintenance, which we happen to find quite thrilling. For Pukunui Sdn Bhd, collaborating with the Asia Pacific University of Technology & Innovation (APU) was a rewarding journey of precision, planning, and partnership.
Introducing a Cutting-Edge Institution
Situated in the thriving tech corridor of Kuala Lumpur, APU is a global tech-focused institution renowned for shaping forward-thinking minds. Their modern campus in Taman Teknologi Malaysia reflects a commitment to innovation—not only in teaching but in digital infrastructure as well. With a diverse student body and a mission to stay ahead in educational technology, APU’s reliance on a robust learning management system (LMS) is critical to their day-to-day academic operations.
Why an Effective Learning Platform Matters
For universities like APU, an agile and reliable LMS isn’t just a backend tool—it’s the digital backbone of the entire academic experience. It supports learning content delivery, assessments, student engagement, and institutional reporting. Leveraging the Moodle™ software platform, APU can provide a flexible, scalable environment aligned to the hybrid and online learning demands of today’s students. However, like any evolving software, keeping Moodle™ updated is essential to ensure security, performance, and access to the latest features.
Recognising the Need for an Upgrade
By 2024, APU recognised the need to move their Moodle™ software environment to the latest version, Moodle 4.5. With an expanding student base and growing demand for smoother online academic operations, the university needed both their staging and production instances upgraded. But this wasn’t simply a matter of a click-and-go update. The stakes were high, and meticulous execution was crucial. This is where Pukunui stepped in.
The Road to a Successful Upgrade
Pukunui’s approach to Moodle™ version upgrades is structured, transparent, and attentive to detail. For APU, we began with a full diagnostics check of their infrastructure to ensure compatibility with the latest Moodle™ software requirements. This included careful reviews of their PHP version, database configuration, server specifications, and any dependencies that might influence upgrade outcomes.
Establishing the Staging Environment
APU, being proactive and tech-savvy, provided us with a staging instance. Our team mirrored the production environment on this test site and initiated a trial upgrade. This sandbox allowed us to trial everything safely—without affecting live users. It also let us run extensive checks, focusing on three key areas: standard Moodle™ functionality, third-party plugin compatibility, and theme/branding consistency.
Client Collaboration and Testing
Once our work on the staging environment was complete, APU’s internal teams conducted their own testing, ensuring all academic units and departments were comfortable with the upgraded functionality. Their feedback loop was swift and insightful—exactly what we hope for in a collaborative project.
Safety First – Backup Before Anything Else
Before upgrading the live site, Pukunui ensured that comprehensive backups were created. This included:
- The Moodle™ software directory and configurations
- Moodle™ uploaded content and course files
- The full Moodle™ database—ensuring all user data and records were safe
Assessing Plugin Compatibility
The power of the Moodle™ platform lies in its extensibility through plugins. That said, out-of-date or incompatible plugins can derail an upgrade. Our team manually reviewed each third-party plugin, upgraded those available in newer versions, and prudently removed any problematic ones to avoid data loss (without uninstalling them from the interface). Post-upgrade, we evaluated options for reinstating or replacing affected features.
Maintenance Mode and Final Upgrade
As the final upgrade of Moodle™ software approached, the production site was put into maintenance mode. We ensured no cron or background processes were running, added the new Moodle™ core files, and triggered the upgrade via the backend notifications interface.
The outcome? A glitch-free transition to Moodle™ 4.5, complete with APU’s custom theme reinstated, course structures intact, and all critical functions performing perfectly. We promptly exited maintenance mode and watched the upgraded system go live without a hitch.
The Benefits for Asia Pacific University
Post-upgrade, APU’s academic and IT teams can now tap into the advanced pedagogical tools available in Moodle™ 4.5, including:
- New and improved UX/UI features for easier navigation
- Enhanced analytics and reporting features for faculty
- More efficient course management workflows
- Better mobile responsiveness and accessibility
It’s also notable that performance optimisations available in later Moodle™ versions lead to faster page load times and more seamless user experiences across devices.
Looking Ahead
With this major upgrade behind us, APU is better positioned to support 21st-century learners and educators. Their leadership in technology education is now mirrored by the tools they use to deliver it.
It was an absolute pleasure working with a team that values quality, communication, and active partnership. APU’s proactive approach and responsive technical team made this upgrade process not only efficient but also enjoyable.
